This role is responsible for maintaining the accuracy and integrity of program documentation and attendance data within iCare Manager (ICM). In addition to data entry and correction, it requires a strong understanding of service delivery, program structure, and billing implications. The position involves reviewing documentation critically, identifying inconsistencies, and determining appropriate resolutions based on operational context—including evaluating overlapping services and distinguishing true errors from valid scenarios. The position also supports staff through training and real-time guidance, while also reviewing and approving prior-day documentation within daily deadlines to ensure timely and accurate billing. Strong attention to detail, prioritization, and the ability to work within time-sensitive workflows are essential.
The Data Support Specialist serves as a key link between program operations, documentation quality, and billing accuracy, helping to reduce errors, maintain compliance, and support reliable billing processes. Salary for this position is between $21- $23/hr.
Essential Duties
Enter, review, and update attendance and service documentation in iCare Manager with a high degree of accuracy
Analyze documentation for inconsistencies, including overlapping service times, missing entries, or mismatched service types
Evaluate discrepancies to determine root cause, distinguishing between true errors and valid service scenarios
Ensure documentation aligns with service definitions, funding requirements, and billing standards
Compile and organize data from iCare Manager into spreadsheets for reporting and tracking purposes
Maintain accuracy and consistency in reporting outputs used by management and finance teams
Assist in identifying trends or recurring issues in documentation
Communicate documentation issues directly and constructively with staff
Maintain clear and professional communication when requesting corrections or clarification
Balance independent work (data review) with interactive work (staff support)
Escalate ongoing or unresolved issues to supervisors, ensuring appropriate visibility and accountability
Non-Essential Duties
Provide occasional backup support for administrative functions (e.g., front desk or team lead administrative tasks) during staff shortages

Qualifications
Experience with data entry, reporting, or documentation systems (iCare Manager preferred)
A basic understanding of DDA’s services, funding streams and service documentation requirements.
Strong attention to detail with the ability to interpret context and apply judgment
Ability to communicate clearly and professionally across all levels of staff
Ability to work with autonomy and as part of a team.
